When you are planning a large event either for public relatiions or any occasional purpose it is important to really think ahead. You want to put all of your thoughts and ideas on paper and give yourself lots of time to carry them out. This is going to influence the place where you want to have the
event. This is time consuming because you have to think out the
perfect time and date and check with several locations to see if

maneuvering here because everyone graduates in the spring, wants to
get married in the summer, and tries to have their end of the year
company party in November or December. So if you want to make life
easier on yourself plan your party in January, February, September,
or October. You will have more people show up if you have your
event during those months because it will have less competition.

I am a huge fan of sending out the invitations next. Find out who you would like to invite and hand write the first and last time on the front of each invitation envelope. It will add a personal touch. You can have someone help you. Everyone likes to see their name and its always a good feeling when you see that a human did it instead of a printer. Are you going to hire and catering company or do everything yourself. Its expensive to hire to catering company but you will not age a year trying to take care of everything yourself as well. At the end of the day these events are difficult to plan and coordinate so no matter what you do find a one stop shop. If you pay someone else to make these arrangements make sure they can do everything. This includes setting up the tables, silverware, condiments tables, and of course cooking and serving the food. Some only cover the food preparation part. If you do it yourself I would strongly recommend you visit a event rental store that specializes in large parties and gatherings. A good one will have everything you need under one roof. Going to several different locations to find what you need is no fun.
Order well in advance the DJ if you plan to have music. Think about your audience and already have picked out what type of music you want played. Again, during peak seasons it will be hard to find a good DJ so please make certain you reserve one at least a month in advance of the event
Finally, cover the parking situation. You would not believe how many people fail to think about this. Please make certain that whatever place you get has adequate parking for your guests or has the ability to arrange it (maybe a satellite parking arrangement). You do not want guests getting their car towed because they parked across the street because all the main parking spaces were full in the first twenty minutes.
After you have covered these main steps you can sit back and enjoy the fruits of your labor. Have a scotch and rest your tired nerves. You deserve it. If you plan a major event the right way with good event planning you will have created a long lasting memory that will be remembered for years to come.
